Can I convert a quote into an invoice in TradeKwote?
Yes. Once a customer accepts a quote in TradeKwote, it converts into an invoice with a single click, with no need to re-enter job details or pricing.
How converting a quote to an invoice works, step by step
- 1
Open the accepted quote. From your dashboard, open the quote your customer has accepted.
- 2
Convert to invoice. One click turns the quote into an invoice. TradeKwote creates an invoice with its own invoice number, date and due date, all filled in for you to adjust if needed.
- 3
Check and send. Review the invoice, adjust the dates or notes if you like, and send it to the customer by email or link.
- 4
Track payment. Mark the invoice paid when the money arrives, or let the status update to overdue when the due date passes.
What happens to pricing and line items
Everything on the quote carries over. The line items, descriptions and amounts stay the same, the subtotal and total match the quote, and VAT is applied exactly as it was on the quote. If the quote had a deposit, TradeKwote can split it into a deposit invoice and a final balance invoice, so you can bill in two stages without doing the maths yourself. Nothing needs to be retyped, which is what makes the conversion worth doing.
How payment tracking works after the invoice is sent
Once an invoice is sent it sits in your invoice list with a status of sent, paid or overdue. You mark it paid when the money arrives, and TradeKwote flags invoices as overdue once their due date passes so nothing slips through. For quotes that used a deposit, you can see at a glance which deposit invoices are paid and which final balances are still outstanding, which keeps your cash flow clear without a separate spreadsheet.
