Go to Settings from your account menu. Under Business Profile add your contact details. Under Payment Details add your bank account. These appear automatically on every quote and invoice.

On the Pro plan, open any accepted quote and click Create Invoice. It pre-fills from the quote, so just review and download.

Find the invoice on your dashboard, click the ··· menu and select Mark as paid.

When creating a quote or invoice, toggle "Include VAT at 20%" if you're VAT registered. TradeKwote calculates the VAT automatically and shows it on the document. In Settings you can also choose your VAT scheme, either Standard 20% or Domestic Reverse Charge, and the document displays the correct treatment.

It shows the VAT you owe for This Month, This Quarter, and This Tax Year (6 April to 5 April). You can export a CSV for your accountant. Only invoices marked sent, paid, or overdue are included, and drafts are excluded. This is not tax advice, so check with your accountant before filing.

Accrual counts VAT when an invoice is issued (sent, paid, or overdue). Cash accounting only counts VAT when the customer has actually paid. Toggle between them on the dashboard VAT summary. Choose the one that matches how you report VAT to HMRC.

Yes. When creating a quote you can request a deposit as a percentage (e.g. 25%) or a fixed amount (e.g. £500). The deposit is shown on the quote, and when the customer accepts they agree to pay it. When converting to an invoice, TradeKwote can split it into a deposit invoice and a final balance invoice.

Yes. Go to Settings and click Manage billing. Your subscription remains active until the end of your current billing period, so you keep full access until then. After that, you'll move to the free plan. Your data is never deleted when you cancel. It is only deleted if you explicitly delete your account in Settings.

On the Team plan you'll see an Add member button at the top of your dashboard. Enter their email and they'll get an invite. Once they sign up they're automatically added to your team.
